Embodied Heart Retreats are held in small, intentional groups to preserve depth, presence, and care in the experience. Because each space is limited and preparation begins well in advance, the following policy is designed to honor both the commitment of participants and the integrity of the retreat container.
We invite you to read this with care and clarity before confirming your booking.
Deposits
All deposits are non-refundable, as they secure your place and allow us to begin preparing for your arrival. If you are unable to attend, you are welcome to transfer your spot to another person up to 14 days before the retreat begins, subject to approval and simple administrative coordination.
Payment Schedule
A second payment of 50% of the total retreat fee is due 120 days before the retreat start date. This payment is non-refundable once received.
The final 50% balance is due 60 days before the retreat begins.
Cancellation Terms
If you cancel more than 30 days before the retreat start date, any eligible refund will apply only to the final payment portion, excluding deposits and any non-refundable amounts already paid.
Cancellations made within 30 days of the retreat start date are non-refundable.
We are unable to offer refunds or credits for late arrival, early departure, or non-attendance, regardless of circumstance.
Where refunds are applicable, a 3% administrative and processing fee will be retained.
Travel Insurance
Because life can be unpredictable, we deeply encourage you to arrange comprehensive travel insurance that includes both medical coverage and trip cancellation protection. This offers support and peace of mind for you and your investment.
By booking, you acknowledge that you have read and understood this cancellation policy. Unfortunately, we are not able to make exceptions for personal circumstances, including illness, injury, travel disruption, or emergencies.
Retreat Changes or Cancellation by Us
On rare occasions, it may be necessary for Embodied Heart Retreats to cancel or reschedule a retreat due to low enrolment, unforeseen circumstances, or events beyond our control.
If this occurs, all payments made directly to Embodied Heart Retreats will be fully refunded. We will always aim to provide at least 30 days’ notice whenever possible.
Please note that we cannot be responsible for additional costs such as flights, transport, or accommodation booked independently.
DISCLAIMER
Embodied Heart Retreats is a space for personal growth, embodiment, and shared experience. The facilitators, collaborators, and hosts (referred to here as “the Organizers”) coordinate retreat experiences and work alongside third-party providers such as venues, transport services, and activity leaders.
While we take care in selecting our partners, we cannot accept responsibility for delays, changes, cancellations, or issues arising from third-party providers or external circumstances such as weather, strikes, or force majeure events.
Participation in the retreat is entirely voluntary. By attending, you acknowledge that activities may include physical movement, emotional exploration, and travel, and you take full responsibility for your own wellbeing, choices, and boundaries throughout the experience.
You agree to communicate any relevant medical conditions, injuries, or limitations before and during the retreat. Support and modifications may be offered, but each participant remains responsible for listening to their own body and choosing what feels appropriate for them.
To the fullest extent permitted by law, Embodied Heart Retreats shall not be held liable for any injury, loss, damage, or expense incurred during participation in the retreat.
This agreement represents the full understanding between you and Embodied Heart Retreats and replaces any prior communication or agreement.
If any disagreement arises, we commit to approaching it first through open dialogue and mediation, in the spirit of respect and resolution.
Media Consent
By participating in the retreat, you acknowledge that photography and video may be taken during the experience. These materials may be used by Embodied Heart Retreats for sharing and promotional purposes, including social media and websites, without compensation.
